Sponsored Schengen Visa Applications: What Must the Sponsor Provide?

Planning to visit family or friends in Europe? If someone is sponsoring your Schengen visa application, you may need more than an invitation letter. The documents required depend on your destination country, your relationship with the sponsor and what they have agreed to pay for.

What Does Sponsorship Mean?

For a short-stay Schengen visa, a sponsor may invite you to stay at their home, contribute towards your living expenses or0 cover some or all of your travel costs. Sponsorship can help demonstrate how your visit will be funded, but it does not guarantee visa approval.

Under Article 14 of the EU Visa Code, applicants must provide evidence relating to their travel purpose, accommodation, financial means and intention to leave the Schengen area before their visa expires. Member States may also require specific sponsorship or private accommodation forms.

What Documents Might a Sponsor Need to Provide?

Depending on the destination country’s requirements and the circumstances of your visit, the sponsor may need to provide:

  • An invitation letter: Explaining who is visiting, the purpose of the trip, the planned dates and the relationship between the applicant and sponsor.
  • Proof of identity or residence: Such as a copy of an identity document, passport or residence permit, where required.
  • Proof of accommodation: Evidence of the address where you will stay, such as a host declaration or accommodation form.
  • Financial evidence: If the sponsor is paying for the visit, documents such as bank statements, payslips or employment evidence may be requested.
  • An official sponsorship form: Some countries require a prescribed form, and additional steps such as a signature certification or legalisation may apply.

The exact list varies by country. For example, the Netherlands requires a completed proof of sponsorship and/or private accommodation form in relevant family or friends’ visit applications.

Does the Applicant Still Need Their Own Documents?

Yes. Sponsorship does not automatically replace the applicant’s supporting evidence. You may still need your passport, application form, travel medical insurance, travel itinerary and documents explaining your circumstances and intention to return.

If another person is funding your trip, clearly explain who will pay for accommodation, daily expenses and other costs. Your application should be consistent with the sponsor’s documents.

Check the Rules Before Applying

Before submitting your application, check the official visa instructions for the country responsible for your main destination. Confirm whether the sponsor must complete a national form, provide original documents or arrange certification.

A well-prepared sponsorship package can help explain your travel arrangements and financial support. However, the consulate assesses the application as a whole, and no invitation letter or sponsorship document guarantees a visa.
